Bamboo + Impact Management = SharePoint Miracles

American Red Cross

There’s a big story brewing at Bamboo.  We are in the process of finalizing a large in kind donation of software and services to the American Red Cross.  I can’t wait to share the details about what we’ve been doing with the Red Cross and how this donation will help save lives and facilitate disaster relief efforts around the world.

But with all of the preparation leading up to SharePoint Conference 2009, and then the travel from DC to Las Vegas, I haven’t had the time to give this story the full treatment it deserves.

However, there is one chapter of this story that has to be told now.

Last week, just a few days before SharePoint Conference 2009, I got a somewhat panicked call from my primary contact at the American Red Cross.  The details of his situation were a little complicated, but the short version was that his team had planned to attend the SharePoint Conference but did not have conference passes (which were completely sold out) and had no budget available even if we could come up with spots for them.  Donors had provided travel for the team, the team was prepared to pay for lodging out of their own pockets, and yet they would be turned away when they arrived if we couldn’t find some way to help them.

My first call was to a contact at Microsoft who will for the moment remain nameless.  I dumped this mess on his lap at the eleventh hour and he came through almost immediately.  He was able to secure tickets, despite being forced to turn away many other parties, and provided half of the budget for the passes.  I hope I will be permitted to recognize this angel by name very soon, I am deeply, humbly grateful to you for your instant and unquestioning support.

My second call was to Dux Raymond Sy, our friend, business partner, and co-presenter at the big show in Vegas.  I reached Dux through Twitter… too late to be calling on a weeknight.  Dux called me back instantly and promised to make some calls and help me raise funds.

But by Friday morning, I was still well short of funding the passes for the Red Cross.  Down to just a few hours, I turned to Jill Kunkel, Director of Bamboo’s Partner Advantage Program.  I asked Jill to reach out to Bamboo’s top partners and see if there was anyone who could step up and help make a little SharePoint miracle happen.

Impace ManagementOne of Jill’s first calls was to Pat Esposito at Impact Management.  With little more than an assurance that this was all in support of a good cause, Pat promptly volunteered to donate the full balance of the needed funding.

I had the opportunity to meet Pat at the Bamboo booth the first night of the conference.  He was quick to dismiss my gushing thanks for his support of Bamboo and the American Red Cross.  Pat explained to me that while his first priority was the health and success of Impact Management, that it is critically important to him and his team to “do the right thing” and be a good citizen of the world.  That’s exactly how we try to do business at Bamboo, and probably why our teams work so well together.

I’ve told this story as best I can from the hallway of the conference room here at SharePoint Conference 2009.  There are more individuals to thank, and much more justification for the effort to get the Red Cross to this event.  I will be posting plenty of follow-ups throughout the week.

The Future of SharePoint Project Management

One of the immediate values SharePoint can deliver to an organization is the ability to address project management challenges, such as inefficient communication among stakeholders, poor information management practices and undefined project collaboration standards that compromises project success.

I had the privilege of presenting at the SharePoint Conference 2009 with Julie Auletta and Daisy Anand of Bamboo Solutions on the topic of “The Future of SharePoint Project Management”. The changes coming with SharePoint 2010 combined with the advancement of desktop tools like Microsoft Project are ushering in a new era of SharePoint project management.

SharePoint 2010 for Project Management Success

I kick started the session by discussing the importance of having a well defined project management process in place before relying on tools like SharePoint. A common mistake organizations make is to invest in a Project Management Information System (PMIS) before fundamental project management practices are in place. Relying on technology to make projects successful is as good as believing Penn & Tellers’ magic tricks are real.

Once I had made the case for sound project management practices, I demonstrated how a project manager could leverage out of the box SharePoint to:

  • Centralize project information and communication in a SharePoint site
  • Automate project processes like change control process by utilizing built in SharePoint workflows
  • Efficiently interact with project information on a SharePoint site by integrating it with common Microsoft Office tools such as Word, Excel, and Outlook
  • Enable alerts to send automated reminders to project stakeholders
  • Define and monitor project tasks in the enhanced project task list which now shows task dependencies and a “Microsoft Project-like” Gantt view interface

Microsoft Project 2010 Synchronization with SharePoint

A common need of project managers is to publish Microsoft Project schedules to a SharePoint project task list. Once published, project resources can update their task status on the SharePoint project task list and have the information synchronize with the project manager’s Microsoft Project plan. This capability is not available in the current and prior versions of Microsoft Project.

However, this need has been addressed in Microsoft Project 2010. During my session I demonstrated how to synchronize a Microsoft Project 2010 project plan to a SharePoint 2010 project tasks list. In addition, this capability can also be used with existing WSS 3.0 or MOSS 2007.

Create Project Dashboard, Get Promoted

Another great benefit of SharePoint 2010 is the out of the box charting capabilities. I showed everyone how to take custom list information in SharePoint and display it as a management dashboard. Smart project managers can use SharePoint 2010’s charting tools to produce the ooh ah moment you need to get the next leg up.

Extending SharePoint Project Management with PM Central

Julie carried on with the presentation and demonstrated Bamboo Solutions’s Project Management Central. It is a SharePoint application that addresses project management needs that’s not available out of the box in SharePoint.

These include:

  • data aggregation across
  • multiple project sites
  • portfolio dashboards
  • resource management
  • advanced reminder alerts

Project Management Central is a turnkey project management solution that can standardize project sites, permissions and navigation consistency throughout projects in the enterprise. Julie demonstrated a PM Central portfolio site displaying rolled up information from various project sites.

Daisy took the stage to cap off our presentation and showcased Bamboo Solution’s Guide Services offering which can help organizations to expedite PM Central configuration to align with specific business needs. She demonstrated case studies one of which is customizing PM Central to support an Agile/Scrum project environment.

Keep your eyes on this space. The new integration features of SharePoint 2010 are going to empower project managers via already familiar tools. As the space develops so will the templates and add-ons available. SharePoint-based project management is entering a new phase of viability.

or between projects in sync.

No more guessing when your projects will deliver.

Managing multiple projects and the resources spread across these projects can be difficult when the project is complex and contains tasks that depend on the successful completion of other tasks or projects. An important aspect of the project schedule is the ability to identify the overall schedule impact when the due date of any one task is changed. SharePoint out of the box offers a basic Project Tasks list with a Gantt view, but it is lacking in the real world application of effectively communicating project task status, priority, milestones, and dependencies.

The SharePoint Task Master offers a Gantt view with drag and drop functionality where you can quickly create and edit tasks, color code tasks by priority or status, and the ability to set up task dependencies. Identify milestones, configure which columns are displayed along with the Gantt chart, and set whether task information is displayed next to the Gantt bar. Create parent and child tasks and configure them so that the parent task start and due dates change based on any changes made in the start or due dates of its child tasks.

SharePoint Task Master includes these features:

  • Drag and drop Gantt bar interface to move tasks from one parent task to another.
  • Assign Finish-to-Start dependencies between tasks.
  • Show Work Break Down structure of project tasks.
  • Zoom in or out on the Gantt timeline to see more or less tasks in the Gantt chart.
  • Dynamically view tasks by Day, Week, Month or Year.
  • Create, edit or delete a project task directly from the Gantt view.
  • Show the color coding legend at the bottom of the Gantt chart.
  • Automatically creates the Bamboo Project Task List when you add the Web Part to a page. This list allows you to begin setting up your project tasks immediately after configuring the Web Part.
  • Use an existing Task or Project Task List instead of the Bamboo Project Task List.
  • Edit an item using the standard SharePoint context menu in the Title column.
  • Print your Gantt chart.
  • Configure which columns display with the Gantt chart (i.e. WBS, Title, Due Date, Assigned To, etc.)
  • Color code any choice column available in the Bamboo Project Task List or your own existing list.
  • Set the progress bar color and indicate which column contains the progress bar information.
  • Configure the color of the project milestones.
  • Customize the language used in the Web Part interface and the tool pane.
  • Set the default Gantt view timeline and dynamically change the scale from the Web Part toolbar (i.e. Day, Week, Month, Quarter, Year).
  • Show the week number and days in the Week, Month and Quarter views.
  • Enforce working hours for tasks to ensure accurate timelines for projects.
  • Set task constraints such as Must Start On, Start No Earlier Than, Start No Later Than and As Soon As Possible.
  • Select the related task information to display next to the Milestone icon in the Gantt chart.
  • Set to auto detect client monitor resolution by adjusting the size of the Gantt chart accordingly, or set a fixed width in pixels.
  • View a particular date of your project with the Go to Date button on the Web Part toolbar.
  • Set Task Master to automatically expand or collapse tasks with subtasks. New!
  • Return to the default Task Master view by clicking the Default button on the toolbar. New!
  • Added Work column to calculate the amount of work the task requires. Select the column that contains your task assigned team members to automatically calculate the required work. New!
  • Change the font size, style and color of the different task levels. New!
  • Set the Duration column to be displayed in minutes, hours or days. New!
  • Set the font color, size and style for the Milestone label. New!
  • Calculate the percent complete by totalling, then averaging the percentage of the tasks in the Web Part. New!

Microsoft Case Study On Impact Management
